This Privacy Policy explains how and why I use your personal data, to ensure you remain informed and in control of your information. 

It is for users of the website Pencilportraits.uk as well as for customers who go on to commission a portrait. It details all the ways in which the website or myself on behalf of Pencil Portraits may collect and use your personal data.

Personal data you provide

This includes information you provide when browsing the website or contacting me by email or telephone. For example:

  1. Personal details (name, email, address, telephone)
  2. Photographs you provide for me to work from
  3. Information gathered when you view the website via your browser’s cookies (see COOKIE POLICY below)

 HOW I USE THIS INFORMATION 

I do not carry out marketing and won’t contact you at any point to offer further artistic services

If you contact me to enquire or discuss a possible portrait but don’t end up commissioning one, I will not retain your contact information

If you contact me and request to be put on my waiting list, I will retain your contact details until your portrait is commissioned and completed. 

Once your portrait is finished, I will securely store a high resolution scan of your finished portrait along with a note of your name, in case you contact me in future to request a printed copy. If you do not wish me to retain this information please let me know and I will delete it.

To comply with my legal requirements to keep tax records, I will retain a copy of all customer invoices (containing customer names and contact details) for a period of no more than 5 years.

Photographs sent to me are kept confidential and are never shared. Once I have finished working from your original photos to create the portrait, I delete them. 

 DISCLOSING AND SHARING PERSONAL DATA

I never sell or in any way share customer data in any form, to any third party. 

 HOW I PROTECT YOUR DATA

Electronic data is stored on secure computer systems. Access to them is limited to myself alone.

Payment security

All payments are made via bank transfer therefore information only collected on digital bank statements and only required solely for transactions pertaining to the commission process and not used for any other purpose.

 KEEPING YOU IN CONTROL

Your legal rights are as follows:

  1. The right to confirmation as to whether or not I hold your personal data and where relevant to obtain a copy of this data (this is known as subject access request)
  2. The right to have your data erased, unless it is necessary for me to continue to use the data for a lawful reason such as maintaining financial and tax information
  3. The right to have inaccurate data rectified
  4. The right to data portability: you have the right to request that your data is transferred to another organisation or to yourself in a way that is machine readable, such as a CSV file.
